We understand that things can change quickly on campus. Please review the following circumstances for cancellation and take the outlined next steps.
1. If a SINGLE DAY role is UNFILLED and no longer needed, you have two options:
a. Submit a ticket to our Care Team requesting they remove the role.
OR
b. Log into your Frontline/Absence Management profile and visit the Unfilled tab. Select the blue Conf # of the job needing cancelled.
Once the blue Conf # is selected, the absence can be viewed. Within the Absence options, the job can be deleted by clicking on the red X Delete box.
A verification box will appear - Confirm: Are you sure you want to cancel?
If you have selected the correct job to cancel, select Delete and the job will be cancelled.
2. If a SINGLE DAY role is FILLED and no longer needed, you have the same two options as noted above:
a. Submit a ticket and report this to our Care Team, requesting they remove the role and notify the GE.
OR
b. Log into your Frontline/Absence Management profile. Locate the Filled tab. Select the blue Conf # of the job needing cancelled.
BE ADVISED: when a role is cancelled within 4 hours of the start time or once a GE is on campus, it is subject to a 4 hour cancellation fee. This is to compensate GEs for their travel time as well as the loss of income.
**For this reason, filled roles being cancelled the day of should be reported to the Care Team or your Enriched Regional Manager.
3. If a MULTI DAY role is UNFILLED and no longer needed, you have two options:
a. Submit a ticket and report this to our Care Team, requesting they remove the role.
OR
b. Follow step b from #1 above.
4. If a MULTI DAY role is FILLED and no longer needed:
**BE ADVISED: Cancelling in progress roles negatively impacts invoicing and disrupts GE pay. If a multi day role is no longer needed, a ticket should be submitted to our Care Team explaining the needed edits.
RECOMMENDED:
a. Submit a ticket and report this to our Care Team or connect with your regional manager, requesting they remove/split the role.
OR
b. Log into your Frontline/Absence Management profile. Locate the Filled tab. Select the blue Conf # of the job needing adjusted.
PLEASE NOTE: if days have already been worked within the Conf #, you will need to select SPLIT ABSENCE. DO NOT delete a job with days already worked.
Once Split Absence is selected, additional options will be available similar to the example below:
Clicking the box to the far left of each day will allow you to select specific days individually
*This option is helpful if a sub should call out and you need to make 1 single day of an ongoing role available for another sub to accept.
If a sub is being removed from a role going forward or if a role is no longer needed, Split Absence Starting at Date should be selected and changes will be made from that date forward. Once selection is made, click Create Split Absence.
If a sub is being removed from the day(s) being split, be sure to check the box next to Remove Substitute from New Absence. Save Split Absence can now be selected and the days needing to be removed will now be a stand alone role.
