Why does Enriched need an Attendance Policy?
Our schools need help! When a GE accepts a role in WillSub+, school leaders are notified that a GE will be joining them on a specified day(s) and they then plan accordingly. This policy outlines how to let Enriched know when you are no longer able support a specific role. Following the policy as outlined ensures your schedule is accurate, that the school is informed of any changes and that our Care Team has opportunity to secure a replacement in your absence.
The key: COMMUNICATE WITH ENRICHED AHEAD OF TIME.
How do I call out?
The two steps below should be taken anytime you are confirmed in a role but are then no longer able to support. These steps apply to all GEs in any Enriched role, including GEs serving in long term or ongoing roles at one campus. All GEs are expected to report absences/call outs to Enriched by 5pm CT (6pm ET) the day before, barring unforeseen emergencies*
- Submit a ticket to our Care Team, including your name, a clear request to cancel, the date of requested cancellation and your reason for missing the scheduled role.
- Cancellation (or request of cancellation) of role within WillSub+
BE ADVISED: If you are unable to cancel the needed day in WillSub+, please do not cancel or request to cancel a different date within WillSub+. Please submit a ticket as instructed in step #1.
--> If a cancellation is needed after 5pm CT / 6pm ET the evening before a role, this classifies as a late cancellation. In addition to the two steps above, the GE should also:
3. Submit official documentation of the emergency nature of the cancellation in their ticket. (Official documentation includes a doctor’s note, proof of ER or urgent care, visit, police report, roadside assistance receipt, etc.)
4. Alert the campus directly to their cancellation.
The following actions are IN VIOLATION of the policy:
- Requesting off after 5pm CT (6pm ET) and not providing official documentation of emergency*
- Directly alerting the school to an absence but not submitting a ticket
- Communicating a call out to an Enriched corporate team member but not submitting a ticket
- Canceling a role or requesting needed days off in WillSub+ but not submitting a ticket
- Not communicating an absence at all (i.e.: No Call/No Show)
- Listing a date as ‘No Show’ on your timesheet without submitting a ticket
- Leaving a timesheet blank and not communicating an absence by submitting a ticket
*In case of emergency: If you are physically unable to make it to campus and it is after the 5pm deadline or it is the morning of a scheduled role, you are still required to follow the steps outlined above. Directly communicating with your school or an Enriched corporate team member and not submitting a ticket is not an approved call out and does not replace the requirement to communicate with the Care Team by submitting a ticket.
Documentation of an emergency is required. Documentation includes: Dr. note, ER/Urgent Care/Clinic appointment confirmation, police report, roadside assistance receipt, etc.
No call/no shows, excessive absences/call outs, and/or persistent lack of communication with Enriched will receive follow up from our Incidents Team and could result in termination.
Tardiness and schedule adjustment requests
Our campuses request specific hours of support from our GEs. When accepting any role with Enriched, it is important that you can support the full role as it is requested. At Enriched, we understand that issues arise and emergencies happen, however our GEs are expected to show professionalism by arriving on time to their campus.
What should I do if I anticipate that I will arrive more than 15 minutes late to my scheduled role?
Immediately Submit a Ticket
In your ticket, include:
- Your reason for arriving later than your scheduled start time
- A projected estimated time of arrival or notification that you will have to call out
- Provide documentation supporting the tardiness (picture of flat tire, car accident, etc.)
It is a GEs responsibility to submit a ticket. Live Care Team support is available Monday through Friday, 4a-7p ET. Our Care Team will alert the school to the current situation. Without a ticket, our team cannot ensure that your schedule is accurate or that the school is receiving the communication and support needed.
What should I do if I need to leave early?
If there is a day that you have an important appointment or scheduling conflict, please submit a ticket to alert Enriched in advance, whenever possible. This applies to all Enriched roles, including those GEs serving in a long term or ongoing role.
To ensure that our schools are receiving full day coverage, we ask that our GEs support on either a half day (4 hours) or a full day. Based on the time of your appointment, let us know if you will be leaving early or arriving late. If the appointment occurs midday, a GE should request the entire day off.
Please note: a prescheduled appointment does not classify as an emergency.
For emergency situations, requiring that you leave campus immediately, we ask that GEs:
- ‘Submit a Ticket’, including documentation of the emergency situation, if possible.
- Sign out with your campus POC or the front office of the school before leaving school grounds.
- GEs are never to leave a classroom unattended
- Submit documentation reflecting the emergency nature of your departure.
Excessive tardies/early departures or instances without communication will receive follow up from our Incidents Team and could result in termination.
What should I do if the school is asking me to stay later than I'm scheduled?
Before working additional hours, please submit a ticket to alert the Care Team. Campuses and districts have varied requirements in regards to hours worked and overtime charges. We want to ensure your hours worked are approved and that can only be confirmed in advance by our Care Team connecting with the school. Please submit a ticket before working additional hours.
Special Attendance Reminders for Long Term GEs
Our GEs serving in long term or multi week roles are doing amazing work and are ideally acclimated to the culture of the campus they are supporting! Long term GEs are still expected to follow the Attendance Policy steps listed above and to communicate any schedule changes to Enriched by submitting a ticket. Directly communicating with any campus or an Enriched corporate team member does not alleviate any GE from the requirement to submit a ticket.
Any GE serving in a role that is scheduled in WillSub+ or Frontline/Absence Management remains employed by Enriched, not the campus they are supporting. Enriched is responsible for your timesheet, your schedule and your pay, not the campus. Enriched is also responsible for providing a replacement GE anytime you are out.
Please communicate with Enriched regarding:
- Call outs
- Illness
- Late arrivals/ early departures
- Time off requests
- Emergencies requiring schedule adjustments
- WillSub+ schedule confusion/timesheet issues
- School Closures, local emergencies, severe weather
In summary, even if the campus you are supporting requests that you report absences to them, it is the responsibility of each GE (regardless of the length of their role) to communicate any schedule changes or adjustments to Enriched by submitting a ticket.
